For personal information processed for Ammar Cabs' own booking, administration, compliance, website and business purposes, Ammar Cabs will generally act as the data controller.
A self-employed Driver may separately be a controller for personal information they are legally required to process in connection with their Transport Service.

We only seek information reasonably necessary for the purpose for which it is being used.
3. Where We Obtain Information
We may obtain information directly from you or from:
- another person booking on your behalf
- a passenger for whom you made a booking
- a Driver
- our booking and dispatch system
- our website or app
- WhatsApp, SMS or email
- payment providers
- airlines or flight-information providers
- corporate customers
- councils, schools or other contracting organisations
- third-party booking platforms
- insurers
- law-enforcement or licensing authorities
- other organisations where sharing is lawful

- allocate bookings to Drivers
- provide journey information to Drivers
- contact passengers and Customers
- process or facilitate payment
- monitor and manage airport bookings
- deal with cancellations and no-shows

- protect passengers and Drivers
- prevent fraud and deliberate non-payment

5. Lawful Bases
Depending on the activity, we may rely on one or more lawful bases permitted by data-protection law, including:
- Contract — where processing is necessary to take steps requested by you or administer a booking or related agreement.
- Legal obligation — where information must be retained or disclosed to comply with licensing, tax, regulatory or other legal obligations.
- Legitimate interests — where necessary for legitimate business interests such as operating our booking service, fraud prevention, debt recovery, safety, complaints, security and improving services, provided those interests are not overridden by your rights.
- Consent — where consent is the appropriate legal basis, including certain marketing or online tracking activities.
- Vital interests — in exceptional circumstances where processing is necessary to protect someone's life or physical safety.
6. Accessibility, Health and Other Sensitive Information
Some passengers may voluntarily provide information concerning disability, mobility, medical requirements or other sensitive circumstances so that appropriate transport can be arranged.
School, council or assisted-transport bookings may also involve such information.
We will process this information only where it is necessary and where an appropriate lawful basis and any additional condition required for special-category information applies.
Depending on the circumstances, this may include explicit consent, vital interests or another condition permitted by law.
Where information is provided under a council, school or other contract, data-protection responsibilities may also be governed by the applicable contract or data-sharing arrangement.
7. Children and School Transport
Ammar Cabs may process children's information where necessary to provide authorised school, council or family transport.
Such information may include names, addresses, schedules, emergency contact details and relevant transport or accessibility requirements.
Information concerning children will only be used where reasonably necessary for the transport, safeguarding, contractual or legal purpose for which it was provided.
We do not use children's school-transport information for unrelated direct marketing.
8. Information Shared With Drivers
To carry out a booking, we may provide the allocated Driver with information reasonably necessary for the journey. This may include:
- passenger name
- pickup and destination
- telephone/contact information
- journey instructions
- flight details
- accessibility requirements
- other relevant booking notes
Drivers must use passenger information only for lawful purposes connected with the booking and applicable legal requirements.
9. Other Organisations We May Share Information With
Where necessary and lawful, personal information may be shared with organisations such as:
- booking and dispatch technology providers
- payment processors
- IT and hosting providers
- communications providers
- self-employed Drivers
- other licensed operators where a booking is lawfully referred
- councils and licensing authorities
- schools or contracting authorities
- insurers and insurance investigators
- professional advisers
- accountants
- debt-recovery providers
- law-enforcement agencies
- courts and tribunals
- regulatory authorities
- analytics or advertising providers where applicable
We do not sell passenger personal information to advertisers.
10. Payments
Where payment is processed through a third-party payment provider, payment-card information may be handled directly by that provider.
Ammar Cabs may retain transaction information required for booking, accounting, fraud-prevention and dispute purposes.
11. CCTV and Dashcams
Our vehicles are fitted with a dual-camera CCTV system: an internal camera monitoring activity inside the vehicle, and an external (dash) camera recording traffic and external events. Audio recording is only activated where the driver presses the panic button in a genuine emergency.
Footage may be processed for:
- passenger and Driver safety
- deterring and detecting crime or misconduct
- investigating complaints
- insurance claims
- accidents
- legal proceedings
- protection of property
- supporting law enforcement and regulatory investigations
Clear and visible signage is displayed in all vehicles informing passengers that CCTV is in operation. Recordings are encrypted and stored securely, and access is restricted to authorised personnel for legitimate purposes only.

Retention and Requesting Footage
Recordings are automatically deleted after 48 hours unless flagged for investigation or a valid request for footage is received within that time.
Anyone who believes footage may be needed following a journey should contact Ammar Cabs as soon as possible, and in any event within 48 hours of the actual passenger pickup time, since footage cannot be retrieved once it has been automatically deleted.
Requests for access to footage must be made in writing, include proof of identity, and specify the date and approximate time of the recording. Access will only be granted where this complies with data-protection law and does not compromise the privacy of others.
Footage flagged for investigation may be retained for the duration of that investigation or as otherwise required by law.
Footage cannot be guaranteed to exist even where a request is made in time, as recording may be affected by technical failure, camera obstruction, corrupted data or similar issues.
This retention period does not remove or restrict statutory data-protection rights, including the right to make a valid subject access request. The ICO confirms that people can have a right to CCTV containing their personal information, and that organisations normally have one month to respond to a valid subject access request.
12. How Long We Keep Information
We do not keep personal information indefinitely merely because it may become useful. Retention depends on the reason for processing.
Booking, payment, accounting and contractual records may generally be retained for up to six years where necessary for accounting, contractual or legal-claim purposes.
Complaint, accident, insurance and litigation information may be kept for the duration of the matter and for an appropriate period afterwards.
Driver licensing and compliance information may be retained for periods required by licensing, tax, insurance or legal obligations.
CCTV and dashcam recordings are normally retained only for the shortest period reasonably required and may be automatically overwritten much sooner unless footage is preserved for a specific incident.
Blocked-customer or serious non-payment information will be limited to information reasonably required for fraud, debt-recovery or safety purposes and should be periodically reviewed.
The ICO does not prescribe one universal CCTV retention period; organisations should retain recordings for the shortest period necessary for the purpose.
13. Website, Cookies and Analytics
Our website uses cookies, tags, pixels and similar technologies, including Google Analytics, Google Ads and Meta (Facebook) Pixel. Full details, including the specific cookies used and how to manage them, are set out in our separate Cookie Policy, available on our website.
Some cookies are necessary for website operation. Others may be used, where enabled and legally permitted, for analytics, measuring website performance, advertising, conversion measurement, remembering preferences or other marketing purposes.
Where consent is legally required, non-essential cookies or equivalent tracking technologies will not be activated until valid consent has been obtained. Users can reject or manage non-essential cookies through our cookie settings tool.
14. Marketing
We may send marketing communications where permitted by law. Where consent is required, we will seek appropriate consent.
You may opt out of marketing communications at any time.
Stopping marketing does not prevent Ammar Cabs sending necessary service communications concerning an active booking, payment, safety issue or other legitimate operational matter.
15. International Processing
Our website uses Google Analytics, Google Ads and/or Meta (Facebook) Pixel-type tracking tools. These are provided by Google LLC and Meta Platforms, Inc., both based in the United States, and their use involves the international transfer of website usage information (such as IP address and browsing behaviour) outside the United Kingdom.
Where this occurs, Ammar Cabs relies on the lawful transfer mechanisms put in place by those providers, which may include the UK Extension to the EU-US Data Privacy Framework (the “UK-US Data Bridge”) or the UK's International Data Transfer Addendum to the EU Standard Contractual Clauses, as applicable.
Other booking, communications (including WhatsApp), email, hosting or payment providers may also process personal information outside the United Kingdom. 16. Security
We take reasonable technical and organisational measures to protect personal information.
Measures may include access controls, passwords, restricted system permissions, secure service providers and limiting access to information according to operational need.
No electronic system can be guaranteed completely secure.
17. Your Data-Protection Rights
Depending on the circumstances and applicable law, you may have rights including:
- access to personal information

- deletion in certain circumstances

- objection to certain processing
- data portability where applicable
